Overview
Q4Fun uses a hybrid pricing model. Transaction-based fees apply to memberships and events/tournaments. Pro Shop sales have zero platform fee — bundled into the Enterprise tier. Resource booking (courts, classrooms, fields, studios, lanes, etc.) uses volume-based monthly pricing — the more bookable resources you have, the lower the per-resource rate. Only resources open for member or public self-service booking are billed; staff-only resources and coach bookings are always free. Stripe payment processing fees are separate and charged by Stripe directly.

Resource Booking — Volume Pricing
Resource pricing applies only to resources where members or the public can self-book online. The more bookable resources you manage, the lower each one costs. Staff-only resources (used for events, tournaments, lessons) and coaches are always free.

How Volume Pricing Works
Your per-resource rate decreases as you add more bookable resources. Each resource counts as one bookable unit. Multi-use resources (e.g., a tennis court also bookable as two pickleball courts) count each bookable configuration separately.
What counts as a bookable resource:
- Any court, field, room, lane, or studio where members or the public can browse availability and book online
- Each bookable configuration counts separately — a tennis court also bookable as 2 pickleball courts = 3 bookable units
What's always free:
- Staff-only resources — courts/rooms that only staff can assign (for events, tournaments, lessons)
- Coaches and instructors — no monthly fee, no per-booking fee
- Temporary event conversions — staff assigns courts to tournament matches without creating bookable units

All bookable resources include: public booking page, real-time availability, payment collection, confirmations, admin dashboard, analytics, and conflict detection. Zero per-booking platform fee — clubs keep 100% of booking revenue minus Stripe processing.

Payment Processing Fees (Stripe)
In addition to Q4Fun fees, Stripe charges standard payment processing fees on every transaction.

Getting Started with Payments
How do I set up payments for my club?
Complete Stripe Connect onboarding through your club admin dashboard. You will need a valid bank account and standard business information. Once connected, you can start accepting payments immediately.
How quickly do I get paid?
Payouts follow Stripe's standard schedule, typically 2 business days after a successful charge. You can view payout status in your club dashboard and in your Stripe account.
What payment methods are supported?
Q4Fun supports all major credit and debit cards (Visa, Mastercard, American Express, Discover), ACH direct debit, and in-person payments via Stripe Terminal for Pro Shop POS.
Understanding Fees
What does Q4Fun charge?
Q4Fun charges transaction-based platform fees on memberships (2.5%) and events/tournaments (2.5%). Pro Shop sales have zero platform fee — included with the Enterprise tier ($35/mo). Resource bookings use volume-based monthly pricing starting at $20/month per resource, decreasing to $12.50/month for 26+ resources. Coach bookings are always free.
How does volume resource pricing work?
The more bookable resources your facility has, the lower each one costs. Resources 1-10 are $20/month each, 11-25 are $17.50/month each, and 26+ are $12.50/month each. Only resources where members or the public can self-book online count. Staff-only resources and coaches are always free.
What counts as a bookable resource?
Any court, field, room, lane, or studio where members or the general public can browse availability and book online. Each bookable configuration counts separately — a tennis court also bookable as two pickleball courts equals three bookable units. Resources that only staff can schedule (for events, tournaments, or lessons) are free.
Why are coach bookings free?
Coaches and instructors are advocates for the platform. The club is already paying for the physical resource where the lesson happens. Keeping coach bookings free drives adoption and avoids double-charging.
Can I pass fees to participants?
Yes. Both Stripe processing fees and Q4Fun transaction fees can be configured to appear as a separate line item charged to participants. This is set per-club in your admin dashboard.
What is the Pro Shop and how is it priced?
Pro Shop is included with the Enterprise tier ($35/mo). It gives your club an online storefront, POS terminal for in-person sales, inventory tracking, and rental management. There is no Q4Fun platform fee on Pro Shop transactions — you only pay Stripe's standard processing fee.

Casual & Grassroots Events
What qualifies as a casual or grassroots event?
Small events flagged “grassroots” on creation, with 16 or fewer registrants and under $20 per person, plus pool-mode buy-ins under $300 total. This covers classes, clinics, pickup games, and small social tournaments. Pricing applies automatically — no configuration needed. Limited to one grassroots event per club per week (Monday–Sunday UTC).
Are casual events really free?
Yes, Q4Fun charges zero platform fees for qualifying casual and grassroots events. Stripe's standard payment processing fees still apply on each transaction.
What are the caps on free events?
Free divisions (where Q4Fun earns no revenue) are capped by tier to keep the platform sustainable. Only public (non-paying-member) registrations count toward caps — paying club members and staff are always unlimited.

Caps are per-division, not per-event. A tournament with one paid division and one free division caps only the free one. The Complex cap of 16 fits 8 doubles teams — enough for a small casual bracket.
What happens if a paid division is $0 due to a 100% coupon?
Coupons don't change how a division is classified. If the division is priced above $0, it counts as paid for cap purposes, even when everyone uses a 100% off code. That said, Q4Fun's 2.5% of $0 is still $0 — we may add coupon caps in the future to close the loophole.
Do paying club members count toward free-event caps?
No. Paying club members (on a paid membership tier where Q4Fun earns its fee) can register into any free division without counting against the cap. The membership subscription is the revenue relationship. Staff assignments also never count.
How does the week limit reset?
The week runs Monday 00:00 UTC through Sunday 23:59 UTC. A division's week is determined by its event's start time. Once the week rolls over, your quota resets.
Refunds & Disputes
How do refunds work?
Club administrators can issue full or partial refunds through their dashboard. Refund policies are set by each club and should be communicated to participants at the time of registration. Q4Fun platform fees are refunded when the club issues a refund.
What happens with chargebacks?
Chargebacks are handled through Stripe's dispute process. Stripe charges a $15 dispute fee per chargeback. Club administrators are responsible for responding to disputes and providing evidence. Maintaining clear refund policies and communication helps prevent chargebacks.

How does Q4Fun compare to other platforms?
Q4Fun's 2.5% transaction fee is dramatically lower than Eventbrite (~10.7% on a $40 ticket), PickleballTournaments.com (~12.5% at $40), and Active.com (5-10%). Our volume resource pricing is competitive with CourtReserve at every facility size. Unlike competitors, Q4Fun combines tournaments, brackets, live scoring, DUPR integration, court booking, memberships, and Pro Shop in one platform.
Why not a flat monthly fee like CourtReserve?
Our hybrid model means small clubs can start for free and only pay as they grow. A club with 6 bookable courts pays $120/month for resources — competitive with flat-fee alternatives — but also gets a tournament engine, membership management, and Pro Shop (zero platform fee) that those alternatives charge extra for or don't offer.
